Use the Scheduling Calendar and Set Up Event Types

Revamp365's scheduling tools let people book time with you through shareable links. You configure each link as an event type with its own duration, availability, location, and intake questions.

Open the scheduling area

  1. Click Calendar in the left sidebar.
  2. Use the Calendar tab to view and create your own events (month, week, and day views).
  3. Click the My Booking Links tab (marked Beta) to manage links others use to schedule with you.

The My Booking Links tab has four sub-tabs: Event Types, Incoming Bookings, Booking Workflows, and Workflow logs.

Create an event type

On the Event Types sub-tab, click New Booking Link. The editor shows a live preview on the left and collapsible setting sections on the right. Give the link a name (this becomes the public URL slug) and pick an event color.

Work through each section:

  • Description — tell invitees what the meeting is about.
  • Limits and buffers — set Duration (5–480 minutes), Slot interval (5, 10, 15, 20, 30, or 60 minutes), and Buffer before/after (0–120 minutes). Defaults are 30 minutes with a 15-minute interval.
  • Free/busy rules — choose how far out people can book and your minimum notice.
  • Booking page options — choose the meeting location and time zone.
  • Invitee form — guests always provide name, email, and phone; add custom questions here.
  • Notifications and workflows — attach Booking Workflows or rely on the platform's standard confirmation and reminder emails.

Click Save changes when finished.

Set availability and limits

In Free/busy rules, pick how invitees can schedule:

Set Minimum notice (default 4 hours) so last-minute slots disappear. Under Weekly hours, enable each day and add time blocks (new blocks default to 09:00–17:00). Keep Block slots when I'm busy on Google or Outlook checked to avoid double-booking; your in-app calendar is always checked.

Choose a location

In Booking page options, pick a location type:

  • Zoom link — if Zoom is connected, a meeting is created automatically per booking; otherwise a static link is used.
  • Phone — enter the number guests should call.
  • Custom — free-text location details.

Share and manage links

Each event type appears as a card showing Active or Inactive and its duration. Copy its public link, which follows the pattern /schedule/your-slug/event-name. To hide a link without deleting it, deactivate it — and use the Show inactive toggle to see hidden links. You can't delete an event type that has upcoming confirmed bookings; cancel those or deactivate the link instead.

Connect Scheduling to an AI Voice Agent

Your AI voice agent can read your real availability and book appointments mid-call. Setup has two halves: generate a scheduling token under Calendar, then add a Schedule Booking step in the voice agent builder.

Generate the voice scheduling token

The token is what lets the agent reach your calendar API securely.

  1. In the left sidebar, open Calendar, then the My Booking Links tab and the Event Types sub-tab.
  2. At the top you'll see the Voice AI scheduling card. Click Generate token.
  3. Copy the secret immediately from the Save your token popup — it is shown only once. Store it in a password manager.

Status flips to Active with a short token prefix. Use Regenerate token if it leaks (the old one stops working at once) or Revoke to disable voice booking entirely.

Create the booking link the agent will use

The agent books against an event type (a booking link). If you don't have one yet, create it first — see use the scheduling calendar and event types and create and share a booking link. Only active event types appear to the agent.

Add the Schedule Booking step

  1. Go to AI Voice & Chat and open the agent you want to edit.
  2. In the flow builder, add a Schedule Booking node (the violet calendar step).
  3. The node's setup panel shows a checklist — Booking link created and Voice scheduling token generated. Both must be green.
  4. Under Booking Link (required), select which appointment type the agent books.

Tune what the agent asks and when it confirms

Each custom question from your booking link appears under Questions the agent will cover. Set How should this be filled? per question:

Agent collects during call Agent asks verbally (add optional phrasing, and skip if the caller already said it)
Filled from post-call data Pulled from a caller-info or post-call field after the call ends

Other controls in the panel:

  • Agent behavior — what to say while checking availability.
  • Confirmation message — what to say after a successful booking.
  • Defer finalization until call ends — reserves the slot instantly, but sends the calendar invite, confirmation email, and booking workflows shortly after the call (up to ~15 minutes). Required for post-call answers to fill automatically.

The node exits down two paths: Booked or Failed (no slots or an error). Wire each to the next step. The endpoint URLs are pre-configured; you only need the Advanced — Custom function URLs section for manual wiring.

Verify and review

Run a test call from the agent, then open Calendar → My Booking Links → Incoming Bookings. Voice-created bookings land here; a deferred one shows Finalizing until the call ends. To pair booking with status updates, see update lead status after AI voice outcomes.

Booking Confirmations, Reminders, Cancellations, and Rescheduling

Every booking on your scheduling link triggers a confirmation, optional reminders, and self-serve reschedule or cancel links for the invitee. Here is exactly what happens and where you control it.

What the invitee sees after booking

When someone books a time, they land on a Booking confirmed page that shows their name, the event type, and the date/time. It includes:

  • An Add to Calendar (.ics) button.
  • A Join Zoom Meeting link (only when the event type location is set to a Zoom link).
  • Reschedule and Cancel buttons.

If your event type uses a Zoom location, Revamp365 creates the meeting and stores the join URL at confirmation.

Confirmation and reminder emails

System emails for confirmation, reschedule, and cancellation are sent automatically, plus two reminders for confirmed bookings:

1-hour reminder Roughly 1 hour before start time

Each reminder fires once. These platform emails send only when booking workflows are enabled on the event type and you have not selected specific workflows to handle those triggers. How rescheduling works

The invitee clicks Reschedule (or the link in their email), picks a new date and slot, and confirms with Confirm new time. Behind the scenes:

  1. The original booking is marked rescheduled (a terminal status).
  2. A brand-new confirmed booking is created at the new time with fresh reschedule and cancel links.
  3. Any Zoom meeting is recreated for the new time.

The slot is re-checked at submission, so if the new time was just taken the invitee is asked to pick another.

How cancellations work

Clicking Cancel sets the booking status to cancelled, frees the slot for others, and deletes the Zoom meeting if one exists. Cancelled bookings cannot be reactivated; the invitee books again if needed.

Managing bookings as the host

Open Calendar → Bookings (/scheduling/bookings). You can filter by event type, status, and date range. For any confirmed booking, the row actions let you mark it:

  • Complete
  • No Show
  • Cancel

Booking statuses are: confirmed, completed, cancelled, no_show, and rescheduled. Once a booking is in any non-confirmed status, it is locked and no further status changes apply.

Create and Share a Booking Link So People Can Self-Schedule

A booking link is a public page where invitees pick an open time slot and book it themselves. Each link is built on an event type that controls duration, availability, and what you ask the booker.

Open the booking links area

  1. In the left sidebar, click Calendar (this opens the scheduling area; a paid plan is required).
  2. Open the My Booking Links tab, then the Event Types sub-tab.
  3. Click New Booking Link (or Event Types > create from the empty state).

Configure the event type

The editor shows a live preview on the left and collapsible sections on the right. Only the name is required, so you can save fast and refine later.

Click Save changes when you're done. A new link is Active by default.

Copy and share the link

Back on the Event Types sub-tab, each card has action icons.

  • Click the link icon (Copy booking link) — you'll see "Booking link copied," then paste it anywhere.
  • Inside the editor, use Copy link at the top of the preview.

The public URL follows this pattern:

https://your-domain/schedule/<your-slug>/<event-slug>

Your slug is generated from your name (for example, janedoe), and the event slug comes from the event name. Connect Zoom under Booking page options if you want a meeting link created automatically for each booking.

Embed it on a website

Click the code icon (Get embed code) on a card to open Embed Booking Widget. Pick a style, then Copy Code and paste the snippet into your site:

  • Inline — shows the full calendar in the page.
  • Popup Button — a button that opens the calendar in an overlay.
  • Floating Button — a button pinned to the bottom-right corner.

After someone books

Confirmed bookings appear under the Incoming Bookings sub-tab, where you can filter by event type, status, or date and mark each one done, no show, or cancelled. To pause a link without deleting it, edit it and turn off active status; use Show inactive to find it again.
