Generate an Offer From an MLS Listing With Offer Bot

Offer Bot turns listings in a saved MLS list into priced offer PDFs and emails them to the listing agent. You set the number, pick your templates, and Revamp365 merges listing data, attaches the filled agreement, and logs the send.

Before you start

  • Your plan must include Offer Bot. Free accounts are blocked; Starter sees an upgrade prompt; Pro, Scale, and Dealmaker have access.
  • Build at least one PDF template with field mapping and one email template.
  • Optional: set your signing profile so buyer stamps fill on generate.
  • Have a saved property list. Automated Offers uses the list selected on Property Search.

Add listings to a saved list

  1. Go to Property Search (MLS).
  2. Add the properties you want to a saved list (or select an existing list in the left rail).
  3. With that list selected, the Automated Offers button appears above the results.

Open Automated Offers

Click Automated Offers. The full-screen MLS Offer dialog lists every property in that saved list. The property table stays blurred until you choose both templates at the top.

Pick templates and price each offer

  1. Under Template Detail, select a Template (your offer PDF) and an Email Template.
  2. Optionally add a PDF Name Suffix to tag each generated file.
  3. In each row, type your Offer Price. Offer Bot shows the amount spelled out and an Offer Price Ratio (your offer as a percent of list price).

Spot-check, then send one or many

For a single listing:

  1. Click the PDF icon to generate and download the filled agreement so you can spot-check it.
  2. Click the mail icon to open Send Offer Email. To auto-fills with the listing agent's email. The subject and body come from your template with listing fields merged in. The filled AOS is attached.
  3. Confirm the PDF generated (Send stays disabled until it has), then send.

To send several at once, enter an offer price on each row you want, select those rows, and click Send Bulk Offer Mails. Offer Bot warns you if a selected MLS number is missing a price.

What the agent receives

By default the email comes from offers@revamp365.ai. The From name is your full name. Reply-To and CC default to your account email (or company email if you set one). If you route Offers through a connected inbox, the message goes from that address and the platform CC is dropped.

Each send is recorded under Offerbot Logs.

Upload a Fillable PDF Offer Template Into Offer Bot

Offer Bot turns your own purchase agreement into a reusable, auto-fillable document. Upload a blank official state association PDF (for example an Agreement of Sale). You do not need to prefill buyer name, deposit, initials, or signatures in Adobe first.

Before you start

  • Offer Bot requires a Pro+, Scale, or Dealmaker plan. Free and Starter accounts see an upgrade prompt instead of the uploader.
  • Your phone number must be verified on your account.
  • Have the blank contract ready as a standard PDF.
  • Optional: open Offer Bot → Signing Profile first so buyer stamps fill automatically later.

Open the uploader

  1. In the left sidebar, click Offer Bot.
  2. Select the Offerbot Templates tab.
  3. Click Upload Template in the top-right corner. (If you have no templates yet, use Upload Your First Template.)

Upload your PDF

  1. Enter a Template Name — for example, "PA Cash Purchase Agreement." If you leave it blank, the name auto-fills from the file name.
  2. Optionally add a Description.
  3. Drag your PDF into the dashed drop zone, or click Browse Files.
  4. Confirm the file name and size appear, then click Upload Template.

A progress bar runs while the file uploads. You then land in the editor. Field detection does not start on its own.

If the PDF already has native fillable AcroForm widgets, Offer Bot imports those. Flat / blank association forms open as a quiet canvas.

Place only the fields that need to fill

In the editor, add text boxes, checkboxes, dates, and signature / initial stamps for values that change on a standard offer. Skip lines that stay blank or are filled later by an attorney or title company.

You do not need a field on every blank on the form.

Optional: AI Detect Fields

The toolbar AI Detect Fields button is optional. Click it only if you want Offer Bot to scan the form and suggest placements. You can still move, delete, or add fields after a scan finishes.

Re-run AI Detect Fields anytime for a fresh pass. Apply PAR defaults is a separate, also-optional layout helper for Pennsylvania association forms.

When the layout looks right, click Save.

File requirements

  • Format: PDF only
  • Maximum size: 10 MB
  • Pages: single- or multi-page
  • Encryption: password-protected PDFs are rejected

If your PDF is locked, unlock it in a PDF tool, re-save, and upload again.

Tips for a clean template

  • Upload the blank official form. Put buyer entity, deposit, and signatures in Signing Profile / offer inputs instead of baking them into the PDF.
  • Use a high-quality export. Scans make placement harder.
  • One contract per template (for example one per state or cash vs financed).
  • After you save, map the fields you placed. You do not map blanks you never placed.

To edit later, return to Offerbot Templates and use Edit on the card.

Write an Offer Bot Cover-Email Template With Merge Tags

A cover-email template is the message that carries your filled agreement to the listing agent. Save it once with merge tags, and Revamp365 fills in the agent name, property address, and offer price each time you send.

Open the email template builder

  1. In the left sidebar, open Offer Bot.
  2. Click the Email Templates tab.
  3. Click Add Email Template. To change an existing one, click the pencil icon on its row.

Fill in the template fields

Field What it does
Template Name Internal label only — the agent never sees it
Email Subject Subject line; merge tags work here
Email Body The message; merge tags work here

Both Subject and Body show a (Tags enabled) hint.

Add merge tags

Merge tags use double-brace syntax: {{field_key}}.

  1. Click Available Tags.
  2. Pick a tag — it copies {{field_key}} to your clipboard.
  3. Paste it into the Subject or Body.

Common tags:

  • {{list_agent_first_name}} — listing agent's first name
  • {{property_address}} — full street address
  • {{mls_number}} — MLS listing number
  • {{list_price}} — list price
  • {{offer_price}} — your offer amount
  • {{offer_price_text}} — offer amount spelled out
  • {{user_first_name}} and {{company_name}} — your name and company
  • {{current_date}}, {{date_plus_30}} — today, or today plus 30 days

A short body might read:

Hi {{list_agent_first_name}}, please find our offer of {{offer_price}} for {{property_address}} (MLS {{mls_number}}) attached.

If a tag has no value for a listing, it renders as blank rather than printing the raw tag. Click Save.

How the email is sent

When you send from Automated Offers, you pick this template together with your PDF template. Revamp365 then:

  • Replaces every tag with that listing's live data.
  • Puts the listing agent's email in To when one is on file.
  • Attaches the filled Agreement of Sale.
  • Shows a preview so you can read the resolved message before it goes out.

By default the message is sent from offers@revamp365.ai. The From name is your full name. Reply-To and CC default to your account email (or the company email on your profile if you set one) so replies come back to you and you keep a copy.

If you turn on Offers routing through a connected inbox, the message goes from that address instead and the platform CC is dropped — your Sent folder is the copy.

Pair this with generating an offer from an MLS listing and Offerbot Logs.

Resend or Cancel an Offer Packet

Once an offer packet is out for signature, you can nudge a slow signer by resending their link or pull the whole packet back by voiding it. Both actions live on the packet detail view inside Offer Bot.

Open the packet

  1. Go to Offer Bot in the left sidebar.
  2. Open the Agreements tab.
  3. Click the eSign row for the packet you want (offer-email rows only download; they do not open a detail view).

The detail dialog shows the status badge, recipients, and the Activity log that records every send, view, resend, and void.

Resend the signing link to one recipient

Each recipient is listed under Recipients & status. A Resend link button appears beneath a recipient only when their status is sent or viewed.

  1. Find the recipient in the list.
  2. Click Resend link. The button shows "Sending…" while it works, then confirms with a "Resent." toast.

What happens behind the scenes:

  • A fresh, signed signing URL is generated and emailed to that recipient.
  • The send is written to the Activity log as Request resent.
  • If the recipient has already signed, the resend is blocked ("Recipient has already signed.").

Resend is per recipient — it does not re-notify the whole group. For sequential packets, only the current signer holds a live link.

Void (cancel) the packet

Voiding cancels the entire packet for every recipient. Use it when terms changed or you sent to the wrong person.

  1. Click the red Void button in the action bar.
  2. Enter a reason in the Reason for voiding… box (required, up to 500 characters).
  3. Click Confirm void.

On void, the packet status becomes voided, the reason and timestamp are stored, and the outstanding signing links are invalidated so no one who has not already signed or declined can open them. The action is logged as Voided.

The Void button is hidden when the packet is completed, voided, or expired, and the server also rejects voiding a completed or voided packet.

When each action is available

Things to know

  • Voiding is permanent — there is no un-void. To re-offer, create and send a new packet.
  • Resent links inherit the packet's existing expiration date, so an expired packet cannot produce a working link; send a new one instead.
  • A recipient who already declined keeps that status; voiding the packet does not reset it.

Map MLS Listing Fields Into an Offer PDF

After you place fields on the PDF, tell Offer Bot which data fills each one. Mapping connects a form field to a Revamp365 tag. Listing details come from the MLS listing you send against — the same fields and values that display on public listing pages.

You only map fields you placed. Unused blanks on the paper form do not need a mapping.

Open the mapping panel

  1. Go to Offer Bot in the left sidebar.
  2. Open the Offerbot Templates tab.
  3. Find your template card and click Mapping. A small help icon on the button means no mapping is saved yet.

The dialog lists every field you placed, with its type (text, date, checkbox, image) in parentheses.

Choose a data tag for each field

Each field has a searchable Choose an option dropdown. Tags fall into these groups:

  • MLS / listing — Property Address, List Price, Bedrooms, MLS Number, Year Built, and other values that also appear on public listing pages.
  • Offer inputs — Offer Price, Earnest Money / Deposit, Proposed Closing Date. Price and closing date come from the Automated Offers dialog; deposit can default from Signing Profile.
  • You / buyer — User Full Name, Company Name, Buyer Entity (from Signing Profile).
  • Dates — Current Date, Current Date + 30 Days, and similar send-time calculations.
  • Static text — fixed wording you set on the field, such as a disclaimer.

Buyer signature and initial image slots stamp from Signing Profile. You do not map those to MLS tags.

If a listing is missing a value, that field stays blank and the offer still generates.

Save and reuse

  1. Click Save. You will see "Mapping saved successfully," and the unmapped icon leaves the template card.
  2. Reopen Mapping anytime — previous selections reload.

Each mapping is stored on that one template, scoped to your account. After it is saved, generating an offer from a saved MLS list fills the PDF from these connections.

Place Signature and Initial Blocks on an Offer

Once you upload a fillable PDF as an eSign template, you place the signing blocks yourself by dragging them onto the document. Every signature, initial, and date field is pinned to an exact spot on a page and assigned to a specific signer.

Open the field editor

  1. Go to Offer Bot and open the eSign Templates tab.
  2. Find your template in the list and click Edit Fields. (If you have not uploaded a PDF yet, click Upload Template first.)
  3. The editor opens to your PDF, scrolling top to bottom with one block per page. Use the zoom controls or Auto Fit (Ctrl+0) to size the page to your screen.

Pick the signer, then drop a field

The left panel has an Assign to signer selector (Person 1 through Person 6) and a Field types list. Always choose the signer first, because each new field is assigned to whoever is active.

  1. Under Assign to signer, click the person who will complete the block (each gets its own color).
  2. From Field types, drag a type onto the page and release where you want it. The block drops centered on your cursor.

On a phone or tablet, tap a field type so it shows Tap to place, then tap the spot on the page.

Adjust each block

Click any placed block to open the Field Properties panel on the right:

  • Assigned to — reassign the block to a different signer.
  • Label — an internal name like Buyer Signature shown on the block.
  • Required — toggle off only if the block is optional.
  • Merge key — appears for Text and Date fields only. Enter a key such as property.full_address, seller.name, or date.today to auto-fill from the linked contact record instead of asking the signer.

Drag a selected block to move it, or drag its corner and edge handles to resize. The panel shows live Position & Size percentages and the page number. Remove a block with the red × or Remove field.

Save the layout

Click Save Template. The button stays disabled until at least one field is placed.

Saving rewrites the entire field set for that template, so the saved layout always matches exactly what is on screen. The editor warns you before leaving with unsaved changes.

Tips

  • Place blocks for every signer. A buyer signature line and a separate seller line need different Assign to signer values.
  • Replacing the PDF later keeps your placed fields, but always reopen the editor to confirm they still line up with the new pages.
  • Signature, initials, and date blocks are filled by the signer at signing time; only Text and Date fields accept a merge key for pre-fill.

When the layout looks right, return to the templates list and click Send to add recipients and route it for signing. Before that, make sure your underlying form is ready by reviewing how to map offer PDF fields.

Send and Track an Offer Packet's Signing Status

Once you have placed signature and initial blocks on a packet, you send it to your signers and watch each step from one screen. Revamp365 tracks the whole envelope and every recipient in real time.

Send the packet

A newly built packet starts in draft status — nothing goes out until you send it.

  1. Open Offer Bot from the sidebar, then choose the Agreements tab. Click New Document to build a packet from a template (upload the template first under eSign Templates if you don't have one yet).
  2. Click a draft packet to open its detail view.
  3. Click the blue Send button, check who gets their link in the Send for signature dialog, and click Send.

You can also send each signer their link by text instead of, or as well as, email. See send an agreement by text, email, or both.

By default, every signer gets the document at the same time. To send it in order, check Set signing order above the signers and give each signer a number. Signers who share a number get it together, and the next number goes out automatically once everyone before them has signed. For example, 1, 2, 2, 3 means signer 1 first, then both 2s together, then signer 3. Each packet also has an expiration (14 days by default) after which unsigned links stop working, so every signer in the order has to finish by then.

Statuses you will see

The packet shows one overall status; each recipient carries their own. Watch both — a packet stays sent or viewed until a signer acts.

Track progress on the packet detail

The detail page gives you a live picture without leaving Revamp365:

  • Signers card shows a signed-vs-total count and a green check on each completed signer.
  • Recipients & status lists every signer with their individual badge (sent, viewed, signed, or declined) and signed timestamp.
  • Activity log is the audit trail — packet created, packet sent, recipient viewed (with IP), signed, completed, downloaded, and reminders, each time-stamped.
  • Turnaround and a tamper-check Verify hash appear once the packet is completed.

Resend, filter, and act

  • For any signer still in sent or viewed, click Resend link to email a fresh signing link.
  • To cancel before completion, click Void, enter a reason, and confirm. Voiding invalidates outstanding links; completed or already-voided packets cannot be voided.
  • When a packet reaches completed, use View document, View with certificate, or Download (combined PDF or a ZIP of document plus certificate of completion).

In the Agreements tab, narrow the list with the status dropdown and the search box (matches document name, recipient, or subject). eSign packets and Offer Bot offer emails both appear here, so use the type filter to isolate signing packets.

Review Sent Offers in Offerbot Logs

Every Automated Offers send is written to Offerbot Logs. Use the tab to confirm delivery, download the attached PDF, and see who received the message.

Open the logs

  1. In the left sidebar, click Offer Bot.
  2. Open the Offerbot Logs tab.

Each row includes:

  • File Name — the generated PDF
  • Property — MLS number or address
  • Subject — the merged email subject
  • Sent To — the listing-agent recipient
  • Offer Price — the amount you entered
  • Email Status — whether the send succeeded
  • Sent At — when it went out

Search the table, filter by success or failed, and download a generated file from the row actions.

What to expect after a send

By default the agent received the email from offers@revamp365.ai with your full name as the sender. You were CC'd at your account email (or company email), so the same message is already in your inbox for follow-up. Replies go to that Reply-To address.

If you route Offers through a connected inbox, look in that mailbox's Sent folder instead — the platform CC is not added on that path.

Failed rows mean the email did not leave successfully. Check the recipient address and try sending that listing again from Automated Offers.

Set Up Your Offer Bot Signing Profile

The Signing Profile is the buyer identity Offer Bot stamps onto an agreement when you generate a PDF. Set it once. You do not upload a signature image — you type the name and initials and pick a handwriting style.

Open Signing Profile

  1. In the left sidebar, click Offer Bot.
  2. Open the Signing Profile tab. This is account-level — set it once and every generated offer uses it until you change it.

Fill in the profile

  • Buyer entity name — the LLC or company that should appear as the buyer when that field is mapped.
  • Default earnest money / deposit — used when a deposit field is mapped and you do not override it at send time.
  • Signature — type the signature exactly as it should appear on the PDF.
  • Initials — type the initials exactly as they should appear.
  • Style — pick a handwriting style. The live preview updates as you type.

Click Save signing profile.

How it is used

When you generate an offer from Automated Offers, buyer signature and initial slots on the PDF stamp from this profile. Listing data still comes from the MLS listing; offer price still comes from the amount you type on each row.

You can change the profile later. New generates use the latest saved values. Already-sent PDFs are not rewritten.

Send an Agreement by Text, Email, or Both

Many sellers never check their email, but they read every text. You can send each signer their signing link by Text, Email, or Both. You choose per signer, so one agreement can go to a seller by text and to their agent by email.

Add a signer's mobile number

  1. Open eSign, click Sign or get signatures, name the document, and upload the PDF.
  2. On the Signers step, enter each signer's name, and then their Email, their Mobile phone, or both.
  3. Under Send via, pick how this signer gets the link:
    • Text is picked for you as soon as you enter a valid US mobile number.
    • Email sends the link by email only.
    • Both sends it by email and by text.

The fields you have to fill in follow your choice: Text needs a mobile number, Email needs an email address, and Both needs both. Only US mobile numbers can be texted.

Signing order works the same as with email. If you check Set signing order, signers later in the order get their text automatically when it's their turn. Leave it unchecked and everyone is texted or emailed at the same time.

Send and confirm texting consent

Place your signature fields, click Create Draft, then click Send on the draft. The Send for signature dialog lists every signer and how they'll get their link. Signers who are waiting on an earlier signer are marked Waiting.

  • Tick This person agreed to receive texts about this document. Send stays greyed out until you do. Only text people who told you they're OK getting texts about this deal.
  • The note under the list shows how many texts will go out. Each text is billed at your plan's normal SMS rate, like any other text you send. See billing, usage, and overages for your rate.
  • If your account needs more credits to cover the texts, the dialog says so. Add credits, then send again.

Click Send. The dialog then shows how each signer was reached, such as Text · Sent, or Email · Sent plus Text · Sent for a signer set to Both.

The text greets the signer by first name, says who sent it (your company name, or your name) and which document, and ends with a short signing link and "Reply STOP to opt out". Long names are shortened so the message fits in a single text. The text also shows up in that contact's conversation in your SMS inbox, with the signing link hidden.

Track each signer on the agreement

Open the agreement to see each signer under Recipients & status:

  • A badge shows how they were sent the link: Text, Email, or Email + Text.
  • Their mobile number is masked to the last four digits, like --0142.
  • Each channel has its own status. Email · Sent, and Text · Sent, Text · Delivered, or Text · Failed. A failed text shows the reason next to it, such as a landline or a number that replied STOP.

Resend the link or fix a phone number

Click Resend ▾ next to a signer who hasn't signed yet.

  • Under Resend link by, choose Email, Text, or Email + Text. You only see the channels that signer already has.
  • You can text the same signer again once every 10 minutes, up to 5 times a day.

If the number was wrong, or you want to add texting for someone you emailed, choose Change phone (or Add phone if they don't have a number yet). Enter the number, pick Send via, and confirm the texting consent checkbox for the new number.

  • Save updates the signer.
  • Save & text link updates them and texts the new link right away.

A new number always gets a new signing link. The link in the old text stops working as soon as you save, so someone who got a mistyped text can't sign. The signer's email link keeps working.

Find agreements by phone number

In Agreements, a signer who only has a phone number shows that number in the recipient column. Type the last 4 digits of a signer's number in the search box to find their agreements.

Automatic texts and quiet hours

Once you've sent an agreement, some texts go out on their own:

  • Next signer: when it's a later signer's turn in the signing order.
  • Reminders: for signers who haven't signed yet, on the schedule you choose in eSign settings. By default the first goes two days after the signer got the link, then every two days, up to three, at 10 AM the signer's time. You can change the schedule and wording, change it for one send, or stop reminders on one agreement. See customize your eSign texts, emails, and reminders.
  • Signed copy: when everyone has signed, a signer with no email address gets a text with a link to their signed copy. Signers with an email address get the signed PDF by email, as before.

These automatic texts only go out between 8 AM and 9 PM in the signer's time zone. Any that come due overnight are held until 8 AM their time. While one is waiting, the agreement shows "Text scheduled for" the time it will go out. The first send and anything you resend yourself go out right away.

If Text is greyed out

Text and Both need texting set up on your account. Until then, they're greyed out on the signer card with a short note on why. If you still need to register for texting or add a registered texting number, the note links to Set up texting. You can always send by Email in the meantime. See activate texting with the Trust Center checklist.

If carriers start filtering texts from your number, texting pauses automatically. Signers set to Both get the email only, you'll be asked to send Text-only signers by email for now, and texting resumes on its own.

Opt-outs and replies

  • Every text ends with "Reply STOP to opt out". If a signer replies STOP, their number can't be texted again. When you send, you'll see "This number opted out of texts (replied STOP). Send by email instead." next to that signer. See DNC and STOP opt-outs.
  • Numbers on your Do Not Contact or Do Not Text lists, contacts marked Do Not Contact, and numbers known to be landlines can't be texted either. Send those signers by email.
  • If a signer replies to the text, the reply comes to your texting number and lands in your SMS inbox like any other conversation.

What Your Signer Sees: Signing an Agreement From a Text

When you send an agreement by text, your signer does everything on their phone. They don't need an app, an account, or a password. Knowing each screen helps when a seller calls you in the middle of signing.

The text and the link

The signer gets a text that greets them by first name, says who sent the document and which one, and ends with a short link and "Reply STOP to opt out".

Tapping the link opens a short page titled with who sent the document. On a phone it forwards straight to the document, so most signers barely see it. Messaging apps read this page to build the preview card under the link. You can change that card's image and wording; see customize the link preview.

Before you sign

The first time they open the document, the signer sees Before you sign. It explains how electronic signing works for this document:

  • What you are agreeing to: signing electronically counts the same as signing by hand, for this document only.
  • Paper copies: they can ask you for a paper copy at no charge.
  • Withdrawing consent: they can choose Decline or contact you instead.
  • Updating your contact details, What you need (a current web browser and a PDF viewer), and Your signed copy.

Your company name (or your name) and your email address appear under Sender, so they know how to reach you.

To continue, the signer ticks both boxes, I agree to receive and sign this document electronically. and I can open and save this document on this device, and then taps Continue. If they'd rather not sign electronically, they tap Decline.

Find the fields and sign

The document opens with the signer's own fields highlighted. The bar at the bottom shows how many required fields are done. The Start button, which becomes Next field after the first fill, scrolls to the next field they still need to fill in, top to bottom through the document. They can pinch to zoom the document. On a computer the same button sits at the bottom right.

Tapping a signature field opens Adopt your signature, with two tabs:

  • Draw: the signer draws with a finger. This tab opens first on a phone.
  • Type: the signer types their name and picks one of four script styles. On a computer this tab opens first, with their name filled in.

Adopt Signature stays grayed out until there's a real signature in the box, so a blank signature can't be adopted. Initials work the same way.

After the first signature, every other signature field reads Click to sign: one tap stamps the same signature, with no pad to draw on again. Each field still needs its own tap. Tapping a field that's already signed offers Change Signature or Remove.

After each signature, initial, required checkbox, or press of Enter in a text field, the page scrolls to the next field and highlights it for a moment.

When every required field is filled in, Complete & Sign turns green and a note says all fields are done. One tap finishes signing.

Getting the signed copy

Once everyone has signed, the signer sees Document Fully Executed with a Download signed copy button. Tapping it opens the completed PDF so they can save it on their phone.

If other people still need to sign, the signer sees All Done! instead, with a note to open the same link again once everyone has signed to download their copy. After the last signature:

  • A signer with no email address gets a text with a link to their signed copy.
  • A signer with an email address gets the signed PDF by email.

If something goes wrong

  • The link says the document was voided or has expired. You voided the agreement, or it expired before they signed. Send a new one.
  • The link stopped working after you changed their number. A new number always gets a new link, and the old text's link stops working. Resend from the agreement so they get the new link. See send an agreement by text, email, or both.
  • They never got the text. Open the agreement and check the Text status next to their name. If it failed, fix the number with Change phone, or resend by email.

Customize the Link Preview on Your eSign Texts

When you send an agreement by text, the signing link can show a preview card on the signer's phone: an image, a title, and a short description. You choose what that card says, so the signer knows the text is from you before they tap it.

Open the link preview settings

  1. Open eSign from the sidebar and stay on the Home tab.
  2. Click eSign settings.

eSign settings open in a popup over the Home tab. The list on the left jumps to each section: Email, Text message, Completion, and Reminders. On a phone, the sections are a strip you can scroll across the top. One Save at the top saves every section at once, and Reset to default resets all of them. If you close the popup with changes you haven't saved, you're asked whether to discard them.

The Link preview card, in the Text message section, shows what your signing links use now. A Default badge means you haven't changed anything yet. The built-in card uses a plain document image, the title "{sender_name} sent you a document to sign", and the description "Tap to review and sign securely."

The document name is left out of the built-in card on purpose, so a property address never shows up in a preview. You can add it yourself with a variable if you want it there.

Add your own image

  1. Click Upload image and choose a JPG, PNG, or WebP file.
  2. In Crop link preview image, drag the frame to pick the part to show. The card uses a wide 1200 × 630 image.
  3. Click Use image.

To change it later, click Replace image. Remove goes back to the built-in image.

Write the title and description

Type your own Title and Description. To insert a detail that changes with each send, click in the field, then click a variable:

Variable What it fills in
Sender name Your company name, or your name if you haven't set a company
Company name Your company name, or your name if you haven't set a company
Document name The name of the document you're sending
Recipient first name The signer's first name

The counters above each field show the length after the variables are filled in: up to 70 characters for the title and 120 for the description. Longer text is shortened with "..." when it's sent. The iPhone and Android previews on the right update as you type, using sample values.

Click Save. The badge changes to Custom, and every document you send by text from now on uses your card. Reset to default goes back to the built-in card.

Customize the signing email

The same settings popup sets the email your signers receive. Email is the first section, above the text message and link preview.

  1. Type a Subject (up to 200 characters) and a Message (up to 2,000 characters). To insert a detail that changes with each send, click in either field, then click a variable. They're the same variables as in the table above.
  2. Check the email preview next to the fields. It shows the email the way a signer sees it, using sample values, and keeps the line breaks you type.
  3. Click Save. It saves the email together with the rest of your settings.

Leave a field blank to use the built-in text: the subject "Please sign: {document_name}" and the message "Please review and sign the following document." The greeting, the document name, the Review & Sign Document button, and the expiry line are always included, so every email has a working signing link.

On the send screen, the Email Message card starts from your saved subject and message, with the variables still showing. Changing it there affects that send only. Each document keeps the email it had when you sent it, so the next signers in the order and any resend get the same wording even if you change your settings later. Reset to default clears the email along with the text message, link preview, completion text, and reminders.

Set up signing reminders

Reminders go to signers who haven't signed yet, the same way they got their signing link: by email, text, or both. Set them up in the Reminders section.

  • Send reminders: turns reminders on or off. It applies to every agreement, including ones already sent. The other reminder settings grey out while it's off.
  • First reminder, then every: 1 to 14 days. The first reminder goes that many days after the signer got their link, never the same day. Each one after that waits the same number of days.
  • Up to: 1 to 5 reminders per signer.
  • Send at: 8 AM to 7 PM, in each signer's local time. That comes from the signer's phone number, or your account's time zone for a signer with no phone number. A reminder never goes out before 8 AM or after 9 PM where the signer could be. If the hour you pick falls outside that window for them, the reminder goes at the next time that's open.

Out of the box, reminders are on: the first goes two days after the signer got the link, then every two days, up to three reminders, at 10 AM the signer's time.

Write the reminder text and email

Reminder text is the message before the link, up to 100 characters, with the same variables as above. The signing link and "Reply STOP to opt out" are always added after it, and the preview shows the whole text. Leave it blank to use the built-in text, which names the document and you, like this: Reminder: "Purchase Agreement" from Your Company is waiting for your signature, followed by the link.

Reminder email has a subject and a message, with the same limits and variables as the signing email. Leave them blank to use the built-in subject "Reminder: Please sign — {document_name}" and the message "This is a reminder that the document {document_name} still requires your signature." The greeting, the Sign Now button, and the expiry line are always included. Reminder emails go out under your account's name, and replies go to your account's email.

Changes to reminders apply to agreements that are already out, starting with their next reminder.

Change reminders for one send

On the send screen, a Reminders row starts from your settings, for example "Send reminders · every 2 days · up to 3". Uncheck it, or pick a different number of days or reminders, to change them for that agreement only. The send time and the wording always come from your settings. If you leave the row alone, the agreement follows your settings, including any changes you make later.

Stop reminders on one agreement

The agreement shows its schedule, for example "Reminders: every 2 days, up to 3, at 10 AM signer time", and each signer shows how many reminders they've had and when the next one goes, such as "Reminded 1 of 3 · next Mon 10:00 AM".

Click Stop reminders to stop them for that agreement. A reminder text that was waiting to go out is cancelled too. Resume reminders starts them again from the signer's last link or reminder. If one is already overdue, it goes out at the next time that's inside the signer's hours. Resending a signer's link also restarts their reminder countdown, without resetting how many they've had.

Change the card for one send

On the Signers step of a new document, a Link preview row appears as soon as a signer is set to Text or Both. It reads Your default until you change it.

  1. Click Customize for this send. The editor opens with your saved card filled in.
  2. Change the image, title, or description. The previews use this document's real name and the signer's first name.
  3. Click Done. The row now reads Customized for this send.

Use my default throws away the changes for this send. Your saved card in eSign settings isn't affected either way.

Whether a preview card shows up

The signer's phone decides whether to show a preview card at all. Some phones and messaging apps show only the link. Others wait until the signer taps, such as an iPhone showing "Tap to Load Preview" for a number that isn't in their contacts. The text and the link work the same either way, so the card is a nice touch, not something the signer needs.

Once everyone has signed, a link from the completion text shows the title "Your signed copy is ready" with your image.

Offer Bot: send priced MLS offers from a saved list

What Offer Bot does

Offer Bot turns a blank Agreement of Sale (or similar purchase agreement) into a reusable template. You place only the fields that need to be filled, map them to MLS listing data, and send priced offers to listing agents from a saved property list.

The filled PDF is attached to an email from offers@revamp365.ai. Your full name is the sender name, your email is Reply-To, and you are CC'd by default so you can follow up from your inbox. Every send is recorded in Offerbot Logs.

How the screens fit together

Open Offer Bot from the sidebar. Four tabs:

  • Offerbot Templates — upload the blank PDF, place fields, and map them to listing data.
  • Email Templates — the cover email that carries the attached agreement.
  • Signing Profile — buyer entity, default deposit, and the signature / initials stamp used when an offer is generated.
  • Offerbot Logs — every offer email that went out.

The send UI itself is not a tab. It opens from Property Search after you add listings to a saved list and click Automated Offers.

Setup once

1. Upload a blank agreement

Use the official blank Agreement of Sale (or equivalent) for your state. Do not pre-fill buyer names, deposits, or signatures in Adobe first.

2. Place only the fields that get filled

In the PDF editor, add text boxes, checkboxes, and signature / initial stamps for values that actually change on a standard offer. You do not need a field on every blank line of the form.

AI field detection is optional. Use AI Detect Fields if you want a first pass; otherwise place fields yourself and save.

3. Map those fields to listing data

On the template card, click Mapping. Each placed field can pull a value from the MLS listing — the same fields and values that appear on public listing pages — plus offer-specific values such as offer price and deposit.

4. Create an email template

Write the subject and body once with merge tags such as {{property_address}} and {{offer_price}}.

5. Create a signing profile

Set buyer entity, default deposit, and the typed signature / initials style. Offer Bot stamps those onto buyer signature fields when you generate a PDF.

Send offers from a saved list

  1. Open Property Search (MLS).
  2. Add the listings you want into a saved list.
  3. With that list selected, click Automated Offers.
  4. Choose your PDF template and email template.
  5. Enter an Offer Price on each row you intend to send.

Then either:

  • Click the PDF icon to generate and spot-check the filled agreement.
  • Click the mail icon to preview the merged email (listing-agent To, merged body, attached AOS) and send one.
  • Price the rows you want and use bulk send.

After you send

Emails come from offers@revamp365.ai with your full name as the From name. Reply-To and CC default to your account email (or the company email on your profile if you set one). If you route Offers through a connected inbox, the message goes from that address instead and the platform CC is dropped.

Open Offerbot Logs to see the recipient, price, subject, and whether the send succeeded.
