Understand Billing, Usage, and Overages
Revamp365 combines a monthly plan with pay-as-you-go charges for the things that cost money per use, such as AI voice calls, SMS, skip tracing, and phone numbers. This explains the plan tiers, how those usage charges are funded, and where to review your usage and payment history.
Plan Tiers
Your account is on one of these plans:

Pro+ and Dealmaker are billed monthly through our payment processor. Your current plan, renewal date, and any scheduled cancellation appear on the Billing screen, and subscription changes open the billing customer portal.
What Counts as Usage
Most core CRM features are included in your plan. These metered actions are charged on top of it:
- AI voice calls (priced from the call cost plus a small per-call markup)
- SMS and rich RCS messages, plus AI Agent SMS replies
- Skip tracing and Deep Tracing (deep research) per record
- Phone numbers, plus optional CNAM Caller ID and Branded Calling
- AI analysis features (lead summaries, next-step suggestions) and agent test chats
Per-record and per-message rates depend on your plan. Paid plans get better rates than Free, and Dealmaker gets the best — each skip trace, text, and AI call is counted as one usage charge.
How Usage Is Funded
There are two funding methods, depending on your plan:
- Prepaid credits (Free, and any paid user who turns on auto top-up). Each billable action debits your credit balance immediately. New Free accounts receive a one-time welcome credit after phone verification. If your balance is too low to cover an action, the action is blocked until you add credits.
- Monthly usage invoice (Pro+ and Dealmaker by default). Metered usage accrues during the month and is billed to your card on a billing invoice. Each usage row is marked Billed once it lands on an invoice.
Free accounts also have a daily spending safeguard: if usage crosses a rolling 24-hour threshold, further paid actions pause until the window resets.
Auto Top-Up
Auto top-up keeps prepaid balances from running out. On the Billing screen you set:
- A threshold balance that triggers a refill
- A refill amount to charge
When a debit drops your balance below the threshold, Revamp365 charges your saved card off-session and adds the credits. Turning on auto top-up with a saved card moves a paid plan onto credit-based billing for usage. If a charge is declined or needs card authentication, auto top-up pauses after repeated failures and notifies you to top up manually.
Where to See Usage and Payments
Open Settings and use these screens:
- Usage — every metered action from the last 6 months, with quantity, unit price, total cost, billed status, and a cost breakdown for the current month.
- Billing (Free and credits-based accounts) — current credit balance, an "Add Credits" button, auto top-up settings, and a filterable transaction ledger of grants, top-ups, debits, and refunds.
- Payment History (subscription accounts) — subscription invoices with links to the online invoice and PDF, usage charges, and credit top-ups.

Property export allowances
Free: 0 new properties/month. Pro+: 10,000. Dealmaker: 100,000. Each property counts once for the account lifetime. Repeat exports and properties with paid Skip Trace or Deep Trace are unlimited on every plan.
Allowance resets on your subscription anniversary, including annual plans. Unused allowance does not roll over. The credit balance popup shows remaining property exports. Requests over the remaining allowance are blocked; you can explicitly export only exempt properties. CRM contacts, call logs and other owned business data remain unrestricted, even after downgrading to Free.
Update Your Email, Password, and Notification Preferences
Your account settings live under Settings, which opens a left rail with Basic, Professional, Email Settings, Notifications, Usage, Payment History, Password, and Appearance. Here is what each profile-related page actually controls and where a few fields are read-only.
Open settings
Go to Settings (the redirect lands you on Settings → Basic at /settings/profile). Pick a page from the left rail. Free-tier accounts and admins also see a Billing item; paid plans manage spend through Payment History and Usage instead.
Edit your basic profile
The Basic page (Basic Profile, "Update your basic information") edits these fields, then you click Save:
- First Name and Last Name — both required, 50 characters max each.
- Phone Number — required, must be a valid US number such as
(123) 456-7890 or 1234567890.
- Street Address, City, State (Short) (for example
PA), and Zip — all optional.
- About Me — optional, up to 1000 characters.
Use Change Profile Picture to upload and crop a square image. A success toast confirms the save.
A note on your email address
The Email address field is shown but disabled on both the Basic page and the Email Settings page, so you cannot change your login email from settings yourself. If the address is unverified, use the Resend verification email link. To change the email on file, contact support.
The Email Settings page is about delivery, not your address. Check categories you want to unsubscribe from, or tick Global Unsubscribe to stop all non-essential mail. Account and security emails always send.
Change your password
On the Password page ("Update password"), fill in:

Click Save Password. A wrong current password or a too-weak new password returns an inline error and clears the relevant field.
Set notification preferences
The Notifications page lets you choose how you hear about each activity, grouped by area (Account & Billing, Communications, Deals & Pipeline, Contacts, and more). Each row has two toggles you control:
The Email column is a Manage link back to Email Settings, since email delivery is governed there. Subscription and payment notifications are marked Always on and cannot be turned off. Click Save to apply. This page also holds Saved search alerts, where each saved property search has a Daily / Weekly / Off frequency plus Email and In-app toggles that save on change.
Where timezone lives
There is no account-wide timezone setting on these pages. Timezone is set per feature that needs it — most notably your scheduling event types and booking pages, where each event carries its own timezone. Configure it there rather than in account settings.

Connect or Change the Credit Card on File for Billing
Revamp365 stores your card with our payment processor, not in the app, so adding or replacing it happens on our payment processor's secure hosted page. You open that page from inside Settings, swap the card, and our payment processor redirects you back. Keeping a current card on file is what lets your subscription renewal, metered usage invoices, and credit top-ups charge without failing.
Open the card update page
Both entry points below open the exact same billing page:
- Most accounts: Go to Settings → Payment History, then click the Update payment method button (it has a credit-card icon). The button reads "Opening..." while our payment processor loads. Payment History is in your Settings sidebar on every plan.
- Prepaid-credit accounts: Go to Settings → Billing, then click Manage billing. That button only shows once your plan card reads as paid; a Free account sees Upgrade to Pro+ and Add Credits there instead.
Either button sends you straight to our payment processor's payment-method update screen. When you finish, our payment processor returns you to your Payment History page.
Add or replace the card on our payment processor
On the billing page:
- Enter the new card number, expiration, CVC, and billing ZIP.
- Submit to save it as your default payment method.
- Our payment processor redirects you back to Revamp365 automatically.
The card becomes the default our payment processor charges for your next subscription renewal, any usage-overage invoice, and any credit top-up. Updating the card here also clears a past-due state once the retried invoice succeeds.
If you do not see a button yet
The portal needs an existing billing customer record. If you have never subscribed or bought credits, clicking the button returns "No billing account found. Please subscribe to a plan first." Start a plan or buy a credit pack first, then return — the card you enter at that first checkout becomes your card on file.

Your first successful charge marks your account as having a payment method on file, which is what unlocks auto top-up and lets off-session usage and A2P messaging fees clear without prompting you each time. To turn that on after your card is saved, see understand billing, usage, and overages.
Troubleshooting
- Button shows an error like "Unable to open billing portal": wait a moment and click again; the billing session call can fail transiently.
- Charges still failing after the swap: confirm the new card actually saved as default on our payment processor and has not expired, then reopen the portal to verify.
- Removed your only card: add a replacement before your next renewal or auto top-up, or those charges will decline and your account can fall past due.
